The planning workshop follows Decision Point 1. At the workshop, the project team discusses and works out the project process in more detail mapping out activities and responsibilities. This work is reflected in the project initiation document.
The planning workshop is held within a few days of the launch meeting to encourage the momentum of the change process. This ensures progress is maintained and allows dates to be set in diaries early on.
The workshop is the forum to develop the detailed TYS change process plan, incorporating workshop dates, decisions about stakeholders to involve and inform, and so on. It is vital that this meeting is action orientated and that it results in a detailed plan.
Having the right people at the workshop is therefore also vital. This does not necessarily mean a crowd - it depends how good communications are with other stakeholders. Not every agency has to be involved. They will be involved in focused interviews and the multi-agency workshop later on in the process. The project manager must be there and it's important decision makers and, wherever possible, young people are involved.
Key activities designed and planned in this workshop include: how to engage young people, choosing which stakeholders to interview, organising workshops to involve service delivery teams, identifying key project milestones (including the date for Decision Point 2 - usually 10-12 weeks after this meeting), understanding the other project that the TYS project may interface with, developing the communications plan and securing resources for the project.
